Summary: Maintains grounds at an apartment community by performing the following duties.

Essential Duties and Responsibilities include the following. Other duties may be assigned.
 
  • Cleans grounds, entryways, parking lots, dumpster areas, and removes litter.
  • Check for and replace burned out light bulbs when cleaning entryways.
  • Assist in pool maintenance.
  • Assists in snow removal of roadways, parking stalls and walking surfaces; spreads salt to prevent ice buildup.
  • Plants and maintains grass, flowers, trees, and shrubs.
  • Waters lawn, shrubs, and flowerbeds
  • Cleans out drainage ditches, culverts, gutters, and downspouts.
  • Sharpens tools such as weed cutters, edging tools, and shears.
  • Makes minor repairs on power equipment such as blowers, chainsaws, and snow removal equipment.
  • Assist maintenance, as requested, with refurbishment and preventative maintenance
  • Maintain a positive work atmosphere by acting and communicating in a manner so that you get along with the public including subcontractors, residents, co-workers and managers.

Summary:   Interacts directly with prospective and current residents to achieve maximum occupancy. Acts as the Nexus representative by conveying the benefits of the community. Responsible for the leasing process from property introduction to resident occupancy and maintains communication throughout the tenancy of the resident.

ESSENTIAL RESPONSIBILITIES:
 
  • Provides information about the apartments, amenities, and community to the prospective resident and schedules visits to the community. Responsible for leasing apartments at an acceptable determined percent of total prospects.
  • Stands up from behind desk and greets all visitors.
  • Interview the prospective resident(s) to determine their needs and qualifications to lease.
  • Completes a guest card on all prospective residents and enters into the property management software.
  • Effectively explains all lease and community policies to new and current residents.
  • Accurately and efficiently prepares and assists with all leasing paperwork (i.e. applications, lease agreements, employment, credit screening, landlord verifications and lease move-in packets).
  • Collects security deposits, rent and all other funds associated with resident applications and move-ins.
  • Enters service requests from residents into the property management software, closes work orders as requested by the manager.
  • Supports the overall marketing effort and offers input and suggestions to property promotions, advertisements, pricing, etc.
  • Understands and complies with all Fair Housing Laws and company standards.
  • Monitors community advertisements by quantifying effectiveness of each source.
  • Prepares monthly competitive surveys and makes recommendations on marketing based on those surveys.
  • Monitors all current and future vacancies to proactively react to future occupancy needs.
  • Inspects all “vacant rent ready” apartments on a regular basis to ensure they are up to company standards and ready to show to prospective residents.
  • Works with the community manager to assure curb appeal and community appearance is acceptable.
  • Conducts follow-up activity with all residents in order to establish positive resident relations. (ie- work order satisfaction, move in satisfaction, etc.)
  • Maintains current resident files.
  • Attends and participates in training seminars as needed and requested.
  • Assists the Community Manager in implementing resident retention and renewal programs.
  • Makes recommendations to management regarding improvements for the overall operation of the community.
  • Attends and assists in the coordination and organization of resident relations and activities, such as keeping the company website updated, parties, etc.
  • Represents Nexus in a professional manner at all times. Consistently maintains a professional courteous attitude when dealing with residents, co-workers and the general public.

JOB QUALIFICATION REQUIREMENTS:
Knowledge/Experience:
A high school diploma or equivalent is required. Basic math skills necessary. Excellent communication and organizational skills necessary. Computer literacy a must.
  • Enter data into property management software and take residents through the move in process.
  • Generate move in paperwork and renewals.
  • Credit screen prospective residents.
  • Using all on-line marketing tools - track traffic, respond to e-mails, update advertisements, communicating with current residents.
  • Excel and word experience.

Summary:  Community Manager is fully accountable for all day to day property operations of the apartment community as well as enhancing the value of the property. They are responsible for tracking the performance of the real estate property to make sure the anticipated net operating income is achieved.

Supervisory Responsibilities
1. People Management
Includes staff in planning, decision-making, facilitating and process improvement; takes responsibility for subordinates' activities; makes self-available to staff; provides regular performance feedback; develops subordinates' skills and encourages growth; solicits and applies customer feedback (internal and external); continually works to improve supervisory skills. Delegates responsibilities and holds those accountable for results. Rewards and recognizes and / or takes appropriate disciplinary action when needed.
  • Leasing Agent - Responsible for communicating and holding accountable to monthly, weekly, and daily goals. Creating action plans and specific marketing plans with the Leasing Agent to ensure the goals are achieved.
  • Maintenance Supervisor - Is responsible for communicating and holding accountable to the overall direction, coordination, and evaluation of this area. Responsible for daily communication on the status of work orders, turn schedule and grounds checklist. Is actively involved with the scheduling of turns to assure the quality and quantity; which includes walking each apartment to assess damages when it becomes vacant, communicating the priorities to the Maintenance Supervisor, generating a work order and make ready checklist, walking make ready when they are completed and keeping the Unit Availability updated with accurate completion dates. Ensures that all service requests are recorded and communicated to maintenance.


2. Financial
  • Demonstrates ability to understand financial goals, operate the asset in the owners’ best interest in accordance with Policies & Procedures Manual.
  • Prepare annual budgets with District Manager.
  • Ensure that all rents and late fees are collected, posted, and deposited in a timely manner. Any legal documentation due to non-payment or other circumstances are generated in a timely manner and followed up with to ensure swift removal of resident.
  • Ensure that accounts payable invoices are submitted to the corporate office for payment weekly. Responsible for balancing petty cash and submitting receipts for reimbursement.


3. Leasing / Marketing
  • Ensure property is rented to fullest capacity.
  • Shows apartments to prospective residents.
  • Walk the “ready vacant” unit to make sure they are clean, fresh, and up to company standards as far as show unit.
  • Create marketing strategies to secure prospective residents. Evaluate on weekly basis and make adjustments as needed.
  • Confirm that leasing staff techniques are effective in obtaining closing.
  • Direct the leasing staff to gather information about market competition in the area. Take appropriate action after analyzing the information.
  • Continually monitor and analyze traffic logs, conversion ratios, budget guidelines, renewal information, marketing data, etc., to be able to give up-to-date and proper information when requested by others.
  • Represent the company in a professional manner at all the times.


4. Resident Retention
  • Follows company’s outlined program for renewing residents.
  • Works with leasing agent to ensure guidelines are followed.
  • Addresses any resident issues in a timely manner to ensure resident satisfaction with management.
  • Directs and coordinates community social functions, such as resident pool parties, resident Christmas parties, etc.


5. Curb Appeal
  • Maintain community appearance and ensure repairs are noted and completed in a timely manner.
  • Breezeways clean and free of debris at all times.
  • Maintain a clean clubhouse and office area.
  • Any safety issues are brought to the attention of the Maintenance Supervisor and Corporate office immediately.


6. Administrative
  • Keep information in property management software up to date.
  • Completes deposit accounting correctly according to company policy.
  • Submit all purchase orders correctly and in a timely manner.
  • Send all move ins, move outs, and renewals to corporate in a timely manner.

Summary:  Coordinates the turning of apartments by the use of his/her own labor and subcontractors. Assist the service Supervisor in maintaining the interior and the exterior of the community.

Essential Duties and Responsibilities include the following. Other duties may be assigned.
 
  • Establishes or adjust work procedures to assist in service ticket backlog.
  • Assist with service tickets as assigned by the Service Supervisor. Must take call every other week. These could include but not limited to occupied units, janitorial, grounds, building exterior, equipment repair and preventive maintenance.
  • Assist in maintaining a clean and organized shop and/or garages. Inform the Service Supervisor of low inventory levels so that additional parts can be ordered.
  • Prepare vacant apartment units for painting, which could include but not limited to drywall repair, wall plate removal, light globe and wallpaper removal. Vinyl floor and carpet removal, when necessary.
  • Completion of the maintenance and final portions of the apartment turn process which could include but not limited to electrical, plumbing, appliance and window repair, caulking, paint touch up, and putting wall plates and light globes back on.
  • Completion of items listed on the resident’s Move In Inspection sheet within a timely manner.
  • Maintain a current list of vacant unit status as to work required, work completed and anticipated completion date. This list is to be easily located within the maintenance shop. This could include preventive maintenance and asset records.
  • Assists in snow removal of roadways, parking stalls and walking surfaces; spreads salt to prevent ice buildup.
  • Suggest changes in working conditions and the use of equipment to increase efficiency of work quality and quantity.
  • Suggest motivational ideas to achieve work goals.

Supervisory Responsibilities

Directly supervises 1 to 4 employees in the Service Department and plumbing, HVAC, and appliance repairs. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include planning, assigning, and directing and/or completing work; appraising performance; disciplining employees; addressing complaints and resolving problems.

Directly supervises 1 to 4 employees in the Service Department and plumbing, HVAC, and appliance repairs. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include planning, assigning, and directing and/or completing work; appraising performance; disciplining employees; addressing complaints and resolving problems.

Essential Duties and Responsibilities include the following. Other duties may be assigned.
 
  • Completes work orders for occupied apartments within a 24 hour period.
  • Completes weekly light inspection and vacant apartment inspection; fill out light inspection and vacant apt. log.
  • Directs workers and/or assist in painting and performing structural repairs to masonry, woodwork, and furnishings of the interior and exterior of buildings.
  • Directs employees and/or subcontractors on ground maintenance activities, such as mowing lawns, mulching, trimming hedges, removing weeds, and raking and disposing of leaves, refuse.
  • Directs employees and/or engages in the general cleaning and upkeep of buildings, including cleaning entryways, cleaning gutters, clearing dryer vents, and picking up trash.
  • Directs and/or assists other service or office staff, as requested, including moving appliances and unloading and storing supplies.
  • Directs and assists employees/subcontractors in snow removal of roadways, parking stalls and walking surfaces.
  • Requisitions tools, equipment, and supplies. Keep inventory in property management software. Use software to keep track of stock and for reorder purposes.
  • Maintains a clean and organized shop. Maintain needed inventory levels bought by competitive pricing.
  • Inspects completed work for conformance to our standards. This includes work performed by external contractors and by other Nexus employees.
  • Interprets company policies to workers and enforces safety regulations.
  • Establishes or adjusts work procedures to meet work order backlog.
  • Suggests changes in working conditions and use of equipment to increase efficiency of work crew.
  • Maintain a positive work atmosphere by acting and communicating in a manner so that you get along with the public including subcontractors, residents, co-workers and managers.
  • Analyzes and resolves work problems, or assists workers in solving work problems.
  • Initiates or suggests plans to motivate workers to achieve work goals.
  • Maintains time, production, pool, and preventative maintenance records.
  • Studies production schedules and estimates worker hour requirements for completion of job assignment.

Education and/or Experience
High school diploma or general education degree (GED); and related experience and/or training; or equivalent combination of education and experience.

Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Ability to learn parts of the Property Management software, as it pertains to maintenance.
